ROLE PURPOSE

Our Case Vic Dealership in Truganina has an opportunity for a Service Advisor / Assistant Service Manager to join the team in a full time role.

Major Accountabilities

Key Responsibilities

  • All administrative duties for the Service Department including answering phone calls/messages.
  • Control service bookings and organize daily work schedule to sustain each workshop employee with a constant workload resulting in a profitable schedule.
  • Ensure customers satisfaction is maintained to the highest level.
  • Open, monitor and close all Repair Orders and record technician hours .
  • Continually monitor Work-In-Progress reports and review with Service Manager.
  • Raise all workshop purchase orders and enter invoices into ERP.
  • Ensure parts ordering procedures are followed and all transactions are covered by the correct paperwork.
  • Ensure accurate and efficient data-entry and record maintenance.
  • Support OH&S guidelines and appropriate OH&S Culture.
  • Other general departmental duties such as; attend Service Department meetings, take minutes, answer phones, take messages, and complete filing.

Minimum Qualifications, Skills, Experience and Language(s)

Essential

  • Ability to maintain focus and multi-task in a high pressured and ever-changing environment
  • Proficient in maintaining an electronic file management system.
  • Strong capabilities with computers, particularly databases and spreadsheets
  • Superior communication skills (written and oral) and attention to detail
  • Excellent organisational and time management skills, ability to prioritise tasks with competing deadlines

Desirable

  • Previous experience (3+ years) in providing a high standard of administrative support in a workshop or mechanical servicing environment.
  • Exceptional data entry skills with an extremely high level of accuracy
  • Previous experience with a Dealer Management Systems (DMS) would be advantageous
